Privacy Policy
This is an interim summary of how the platform currently operates, published so the information is available while our full legal text is being finalised. It will be replaced by the final version.
Who we are
Hotelivity is a booking platform for activities and experiences. We connect travellers with the local suppliers who run those activities, and with the hotels and agents who recommend them.
What we collect
When you book an activity as a guest, we collect the name, email address and phone number you enter, along with the number of travellers and the activity, date and time slot you chose.
If you create an account, we additionally store your email address, your name, an encrypted form of your password, and any phone or messaging details you choose to add.
If you leave a review after an activity, we store the rating and any comment you write, linked to that booking.
We do not collect card details. Payments are handled entirely by our payment provider, and card numbers never reach our systems.
Why we use it
- To create, confirm and manage your booking
- To send you booking confirmations and other transactional email
- To let the supplier delivering your activity know who to expect
- To let you sign in, view your bookings and leave a review
- To handle refunds and cancellations
Who we share it with
We share your booking details with the supplier delivering the activity, so they can provide it. Where a hotel or agent referred your booking, we share the fact of the booking with them for commission purposes, but not your email address or phone number.
We also use a small number of service providers who process data on our behalf:
- A payment provider, to take payment and pay suppliers
- An email provider, to send booking confirmations and account email
- A cloud hosting and storage provider, for our systems and for images
We do not sell your personal data.
What your browser stores
If you sign in, we store your session token and basic profile in your browser's local storage so you stay signed in between visits. Clearing your browser data signs you out.
If you arrive through a hotel or agent referral link, we record which partner referred you in your browser's session storage for the duration of that browsing session. This is used to attribute the booking correctly. It is cleared when you close the tab.
How long we keep it
We keep booking records for as long as we need them to run the service and to meet our accounting and tax obligations. Account data is kept while your account is open.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Some data has to be retained where we have a legal obligation to keep it, such as records of completed transactions. To make a request, contact us using the details on our contact page.
Changes to this policy
If we change this policy we will update this page and the date shown at the top of it.
